Billing#

Manage your Nanabase subscription, payment methods, and billing history. Only company Owners can access billing settings.

Plans Overview#

Free Plan#

Get started at no cost:

  • 1 user
  • 100 private contacts
  • Basic features
  • Community support

Team Plan#

For growing teams:

  • Up to 20 users
  • 5,000 contacts per user
  • Full feature access
  • Import/export
  • Email support
  • $X per user/month

Business Plan#

For larger organizations:

  • Unlimited users
  • 25,000 contacts per user
  • Priority support
  • Advanced analytics
  • Audit logs (1 year)
  • $X per user/month

Enterprise Plan#

Custom solutions:

  • Unlimited everything
  • Custom integrations
  • Dedicated support
  • SLA guarantees
  • SSO/SAML

Managing Your Subscription#

Viewing Current Plan#

  1. Go to SettingsBilling
  2. See your current plan details:
    • Plan name
    • Monthly/annual billing
    • Current usage
    • Next billing date

Upgrading#

To upgrade your plan:

  1. Go to SettingsBilling
  2. Click Change Plan
  3. Select a higher plan
  4. Review changes
  5. Confirm upgrade

Immediate upgrade:

  • Access new features immediately
  • Prorated billing for current period
  • Next bill reflects new plan

Downgrading#

To downgrade your plan:

  1. Go to SettingsBilling
  2. Click Change Plan
  3. Select a lower plan
  4. Review any feature loss
  5. Confirm downgrade

End of period downgrade:

  • Keep current plan until period ends
  • New plan starts next billing cycle
  • Ensure you're within new plan limits

Before downgrading, ensure you're within the new plan's limits (users, contacts). You may need to remove data first.

Canceling#

To cancel your subscription:

  1. Go to SettingsBilling
  2. Click Cancel Subscription
  3. Tell us why (optional)
  4. Confirm cancellation

After cancellation:

  • Access continues until period ends
  • Data retained for 30 days after
  • Can reactivate anytime
  • Export your data first

Payment Methods#

Adding a Payment Method#

  1. Go to SettingsBillingPayment Methods
  2. Click Add Payment Method
  3. Enter card details
  4. Click Save

Accepted methods:

  • Visa
  • Mastercard
  • American Express
  • Other major cards

Updating Payment Method#

  1. Go to SettingsBillingPayment Methods
  2. Click Edit on the payment method
  3. Update details
  4. Click Save

Removing Payment Method#

  1. Go to SettingsBillingPayment Methods
  2. Click Remove on the payment method
  3. Confirm removal

You must have at least one valid payment method on file while on a paid plan.

Invoices#

Viewing Invoices#

  1. Go to SettingsBillingBilling History
  2. See all past invoices
  3. Click any invoice to view details

Downloading Invoices#

  1. Find the invoice in Billing History
  2. Click Download PDF
  3. Save for your records

Invoice Contents#

Each invoice includes:

  • Invoice number
  • Billing period
  • Plan details
  • User count
  • Amount charged
  • Payment method used
  • Company details

Billing Email#

Invoices are automatically sent to:

  • The Owner's email
  • Any additional billing contacts you configure

Add billing contacts in SettingsBillingBilling Contacts.

Billing Cycle#

Monthly Billing#

  • Charged on the same date each month
  • Example: Signed up March 15 → billed March 15, April 15, etc.

Annual Billing#

  • Charged once per year
  • Typically 10-20% discount vs monthly
  • Example: Signed up March 15 → billed March 15, next March 15

Changing Billing Cycle#

To switch between monthly and annual:

  1. Go to SettingsBilling
  2. Click Change Billing Cycle
  3. Select monthly or annual
  4. Review pricing difference
  5. Confirm change

Usage & Limits#

Viewing Usage#

See your current usage:

  1. Go to SettingsBilling
  2. View Current Usage:
    • Members: X of Y
    • Contacts: X of Y

Exceeding Limits#

If you exceed plan limits:

Members: Cannot invite new members until you upgrade or remove existing members.

Contacts: Cannot add new contacts until you upgrade or delete existing contacts.

Getting More Capacity#

Options if you need more:

  1. Upgrade to a higher plan
  2. Contact sales for custom pricing
  3. Archive/delete unused data

Taxes#

Tax Calculation#

Taxes are calculated based on:

  • Your billing country
  • Your billing state/province
  • Your tax status

Tax Exemption#

If you're tax exempt:

  1. Go to SettingsBillingTax Information
  2. Click Add Tax Exemption
  3. Upload exemption certificate
  4. We'll verify and apply

Tax IDs#

Add your tax ID (VAT, GST, etc.):

  1. Go to SettingsBillingTax Information
  2. Enter your tax ID
  3. It will appear on invoices

Billing FAQ#

When am I charged? On your billing date each month/year. If you upgrade mid-cycle, you're charged prorated immediately.

Can I get a refund? We offer refunds within 30 days of charge. Contact support@nanabase.co.

What if my payment fails? We retry failed payments for 7 days. You'll receive email notifications. After 7 days, access may be restricted.

Do you offer discounts for nonprofits? Yes! Contact sales@nanabase.co with proof of nonprofit status.

Can I pay by invoice? Annual invoice payment is available for Business and Enterprise plans. Contact sales.

How do I update my billing address? Go to Settings → Billing → Billing Address. Update and save.

What happens to my data if I cancel? Your data is retained for 30 days after your subscription ends. You can export it anytime during this period.

Can I pause my subscription? Not currently. You can cancel and reactivate later (data retained 30 days).
