Getting Started#

What is Nanabase?#

Nanabase is a professional contact management platform that helps individuals own their professional network for life, while enabling companies to unlock the collective power of all employee relationships. Unlike CRM (which serves only sales), Nanabase works for every department.

How is Nanabase different from a CRM?#

How is Nanabase different from LinkedIn?#

LinkedIn became a social network with feeds and content. Nanabase is pure utility—no feed, no posts, no engagement tricks. Just professional contact management and relationship discovery.

Is Nanabase free?#

We offer a free plan for individuals with basic features. Team and Business plans start at $X/user/month. See pricing →

Account & Access#

How do I sign up?#

  1. Go to app.nanabase.co
  2. Enter your email
  3. Click the magic link sent to your inbox
  4. Complete your profile

Why don't you use passwords?#

We use passwordless authentication (magic links) because:

  • Passwords get stolen, forgotten, and reused
  • Magic links are more secure for most users
  • One less thing to remember

Can I use SSO/SAML?#

How do I join my company's workspace?#

Either:

  • Get an invitation from your admin, or
  • Go to yourcompany.nanabase.co and request to join

Contacts & Data#

What's the difference between private and shared contacts?#

Private contacts:

  • Only you can see them
  • Follow you when you change jobs
  • Your career asset

Shared contacts:

  • Visible to everyone in your company
  • Searchable by colleagues
  • Stay with company when you leave

Do I own my contacts?#

Private contacts: Yes, completely. They're yours forever.

Shared contacts: You own your copy. The company has a copy they shared when you shared with them.

What happens to my contacts if I leave my company?#

  • Private contacts: Stay with you, fully accessible
  • Contacts you shared: Company keeps their copy, you keep your private copy

Can I import contacts from LinkedIn?#

Yes! Export your LinkedIn connections as CSV, then import into Nanabase. How to import →

Can I export my data?#

Yes, anytime. Go to Settings → Export. No lock-in.

Privacy & Security#

Is my data encrypted?#

Yes. All data is encrypted:

  • At rest: AES-256 encryption
  • In transit: TLS 1.3
  • PII fields: Additional encryption via Google Cloud KMS

Can my employer see my private contacts?#

No. Private contacts are completely invisible to your company, including admins and owners.

Can Nanabase employees see my data?#

Access is strictly limited and logged. Only for authorized support purposes with full audit trail.

Is Nanabase GDPR compliant?#

Yes. We're fully GDPR compliant with data minimization, right to access, right to deletion, and data portability.

Features#

What is "Who Knows Who"?#

It's our relationship discovery feature. Search for a company and see which colleagues have connections there. Great for warm introductions and finding paths to people.

How do warm introductions work?#

  1. Find a connection path via Who Knows Who
  2. Request an intro from your colleague
  3. They review and make the introduction
  4. You get a warm connection instead of cold outreach

Can I search contacts by tag?#

Yes! Add tags to contacts, then filter or search by tag. Example: tag:lawyer finds all lawyers.

Is there a mobile app?#

Not yet, but our web app is fully responsive and works great on mobile browsers.

Teams & Companies#

How do I create a company workspace?#

  1. Log into Nanabase
  2. Click "Create a Company"
  3. Enter company name and choose a subdomain
  4. You're the Owner

What's the difference between roles?#

  • Owner: Full control, can delete company
  • Admin: Day-to-day management
  • Member: Standard usage
  • Viewer: Read-only access

Can one person be in multiple companies?#

Yes. You can be a member of multiple company workspaces, with different roles in each.

What happens when someone leaves the company?#

  • Remove them from your workspace
  • Contacts they shared remain (attributed to them as "former member")
  • Their private contacts are unaffected
  • Their personal account continues working

Billing & Plans#

What payment methods do you accept?#

Major credit cards: Visa, Mastercard, American Express.

Can I change plans?#

Yes. Upgrade anytime (prorated). Downgrade at end of billing cycle.

Do you offer discounts?#

  • Annual billing: 10-20% discount
  • Nonprofits: Contact us
  • Startups: Contact us about our startup program

What's your refund policy?#

Full refund within 30 days of any charge. Contact support@nanabase.co.

Troubleshooting#

  1. Check spam/junk folder
  2. Make sure you entered the correct email
  3. Try again (links expire after 15 minutes)
  4. Contact support if persistent

I can't access my company workspace#

  1. Make sure you're using the right URL (company.nanabase.co)
  2. Check if your membership is still active
  3. Contact your company admin
  4. Contact support if you think there's an error

My import failed#

  1. Download the error report
  2. Fix the flagged issues in your CSV
  3. Re-upload only the fixed rows
  4. Import troubleshooting →

I accidentally deleted a contact#

Deleted contacts are recoverable for 30 days:

  1. Go to Settings → Deleted Contacts
  2. Find the contact
  3. Click Restore

After 30 days, deletion is permanent.

  • Company name (if applicable)
