Find contacts instantly across your private vault and company directory with powerful search and filtering capabilities.

Search#

Nanabase's search helps you find contacts quickly across your private vault and company directory. Whether you need a specific person or want to explore contacts by category, search gets you there fast.

The search bar is always accessible in the top navigation:

  1. Click the search bar (or press Cmd+K / Ctrl+K)
  2. Start typing
  3. See results instantly as you type
  4. Click a result to open the contact

What's Searched#

Quick search looks across:

  • First and last name
  • Email address
  • Company name
  • Job title
  • Tags
  • Notes content

Search Scope#

Depending on where you are:

  • My Contacts — Searches only your private contacts
  • Directory — Searches only company shared contacts
  • Global Search — Searches both (from the top bar)

Search Operators#

For more precise searches, use operators:

name:maria           → Contacts named Maria
email:@stripe.com    → Email addresses at Stripe
company:acme         → Contacts at Acme
title:engineer       → Job title contains "engineer"
tag:lawyer           → Contacts tagged "lawyer"
notes:urgent         → Notes containing "urgent"

Combining Operators#

company:stripe tag:engineering
→ Contacts at Stripe tagged with engineering

title:director company:google
→ Directors at Google

Exact Phrases#

Use quotes for exact matching:

"maria gonzalez"     → Exact name match
"vice president"     → Exact title match

Exclusions#

Use minus to exclude:

lawyer -tag:retired  → Lawyers not tagged as retired
company:acme -nyc    → Acme contacts not in NYC

Filtering#

Filters let you narrow down results visually:

Available Filters#

Tags Select one or more tags to filter by:

  • Click to add a tag filter
  • Multiple tags use AND logic (contact must have all selected tags)

Company Filter by organization:

  • See a list of companies in your contacts
  • Select one or more companies

Added By (Directory only) See who shared the contact:

  • Filter by specific team members
  • Useful for finding a colleague's contributions

Date Range Filter by when contacts were added:

  • Last 7 days
  • Last 30 days
  • Last 90 days
  • Custom range

Combining Search and Filters#

Search and filters work together:

  1. Enter a search term
  2. Apply filters to narrow results
  3. Results match both the search AND all filters

Search Results#

Result Display#

Results show:

  • Contact name
  • Job title and company
  • Tags (highlighted if matched)
  • Snippet of matching content

Result Actions#

From search results, you can:

  • Click to open contact details
  • Hover for quick actions (edit, share, delete)
  • Select multiple for bulk actions

Sorting Results#

Sort results by:

  • Relevance (default) — Best matches first
  • Name — Alphabetical
  • Company — Grouped by organization
  • Date — Recently added first

Press Cmd+K (Mac) or Ctrl+K (Windows) anywhere to open global search:

  • Search across private and company contacts simultaneously
  • Results grouped by source (Private / Company)

  • Keyboard navigation (↑↓ to navigate, Enter to select)

Saved Searches#

Save searches you use frequently:

  1. Perform a search
  2. Click Save Search
  3. Give it a name
  4. Access it from your saved searches list

"NYC Lawyers"        → tag:lawyer company:*nyc*
"Investors"          → tag:investor
"Recent Contacts"    → added:30days
"Engineers at FAANG" → title:engineer company:(google OR meta OR apple OR amazon)

When you know the name:

Search Performance#

Instant Results#

  • Search is real-time as you type
  • Results update with each keystroke
  • No need to press Enter

Large Directories#

For directories with thousands of contacts:

  • Results are paginated
  • Most relevant results shown first
  • Use filters to narrow scope

Frequently Asked Questions#

Is search case-sensitive? No. Searching "maria", "Maria", or "MARIA" returns the same results.

Can I search within notes? Yes. Notes content is included in search by default. Use notes:keyword for notes-only search.

Why didn't my search find a contact I know exists? Check if:

  • The contact is in the other layer (private vs company)
  • You're searching the right field
  • Spelling is correct (try partial matching)

Can I search contacts at companies I don't have access to? You can only search contacts within your own private vault and your company's directory. You cannot search other companies' directories.

Are there any search limits? No strict limits, but very long queries may be truncated. Keep searches focused for best results.
