Smart Organizer

Use the Nanabase Smart Organizer to find duplicate contacts, contacts with the same name and missing details in your private list, and merge them.

2 min read

The Smart Organizer checks your private contacts for duplicates, people with the same name and missing details. It works on My Contacts only, not on the company directory.

Open it from Smart Organizer in the sidebar, under Tools.

Run an analysis#

Click Analyze contacts. The organizer reads your list and shows what it found. When your contacts change after a run, click Re-analyze to refresh the results.

The tabs#

A tab appears only when it has something to show.

| Tab | What it lists | |-----|---------------| | Overview | A summary of the last analysis | | Missing Data | Contacts with empty fields you may want to fill in | | Duplicates | Groups of contacts that look like the same person, each with a match score | | Same Names | Contacts that share a name, so you can decide if they are one person or several | | Needs Review | Contacts with errors or a very low data quality score |

Merge duplicates#

  1. Open Duplicates.
  2. On a group, click Review & Merge.
  3. For each field (first name, last name, email, phone, company, job title), pick the value to keep, or type your own.
  4. Click Merge into one contact, then confirm with Merge contacts.

The selected values are saved to one contact and the other contacts in the group are removed. This cannot be undone.

If a group is not a duplicate, click Not a duplicate. Nanabase remembers your answer, so the same group does not come back in later analyses.

Same names#

Same Names groups contacts with the same name and asks whether they are the same person. If they are, you can merge them the same way. If they are different people, leave them as they are.

Duplicates in the company directory#

The Smart Organizer does not touch company contacts. In the directory, duplicates are caught when someone shares a contact, and an admin merges them during review. See Sharing and review.
